Cancellation and No-Show Policy

At The Hetrick Center, our goal is to provide every patient with high-quality, personalized care in a timely manner.

Missed appointments, late arrivals, and last-minute cancellations limit our ability to care for other patients who may be in pain or in need of treatment. To ensure fairness and efficiency for everyone, please review our policy below.

This policy is effective immediately and ongoing, with no exceptions.

Respecting Everyone’s Time

When you schedule an appointment, that time is reserved exclusively for you and is no longer available to other patients.

If you are unable to attend your appointment or anticipate arriving late, please notify us as soon as possible so we can offer that time to another patient.

• To cancel or reschedule, please call or text 717-944-2225

• Voicemails and text messages left outside of regular business hours will be honored

• We kindly request at least 24 hours’ notice for all cancellations

Providing adequate notice allows us to accommodate patients who are waiting for care.

Definitions

• Late Cancellation: Canceling an appointment less than 24 hours before the scheduled time

• Late Arrival: Arriving late enough that your appointment must be shortened or rescheduled (this is treated as a late cancellation)

• No-Show: Missing your appointment without notifying us

Automated Fees & Payment Requirement

All cancellation and no-show fees are automatically applied based on appointment status.

Front desk staff and providers are unable to waive, adjust, or override these charges.

All fees are due at the time of cancellation and may be paid:

• Over the phone, or

• Online via our website: https://www.hetrickcenter.com/payment-processing/

Fee Structure:

Standard Chiropractic & Physical Therapy Appointments

• $25 fee per missed appointment

• A two-time grace period is provided per patient

• Fees apply beginning with the third occurrence

New Patient Appointments & Evaluations

• $50 fee for any late cancellation, late arrival, or no-show

• No grace period applies due to the extended time reserved for these visits

Pool & Hands-On One-on-One Physical Therapy Appointments

• $50 fee for any late cancellation, late arrival, or no-show

• No grace period applies due to the extended, dedicated time required. The fee will be waived if the appointment is rescheduled to occur within three (3) business days

Massage Appointments

• $50 fee for all late cancellations, late arrivals, or no-shows

• No grace period applies

• Fees must be paid before scheduling or receiving any future massage appointments

• Massage gift certificates may be applied toward this fee
